In this module, you will learn about Media in Optimizely CMS. Media encompasses all non-page and non-block digital assets that are integral to a website's content. This includes images, videos, documents (such as PDF or Word documents), or mp3 files. Media files must be stored in the media library on theMedia tab in the assets panel to be available in CMS. ​

After completing this module, you should be able to:​

  • Upload media files via different methods and know where they land.​
  • Manage media (search, insert, preview, download, rename, replace).​
  • Edit metadata and manage versions.
  • Understand how publishing of media works and implications.

Upload media​

Media files are uploaded through drag and drop from a file location on your computer to the upload area.You can also click directly in the upload area to add files. Or you can select Upload Files in the context menu for the target folder to which you want to upload files.​

You need Create rights on the target folder (global or site) or on the page (if uploading into local folder) to upload media there.​

​Search for media​

Use the search field at the top of the panel to enter search criteria and retrieve media files. Clicking a search result expands the folder where the file is located. To browse for media files, click a folder to expand the folders and content beneath it.​

​Publishing Media​

Depending on your system configuration, media files may or may not publish automatically upon upload.​

  • To auto-publish, you must have Publish access on the folder. ​

  • Automatic publishing means the media immediately becomes accessible (and indexable) on the live site — so be cautious with sensitive files.​

  • If media folder has content approval or if there’s a project active, media may not auto-publish — you’ll need to publish manually or schedule publishing.

Insert media​

You can insert media (images, embedded video) or create links to media in your content areas. ​

  • For images, you can use image insertion tools that let you pick dimensions, alt text, etc.​

  • For videos/audio, use embedding or link options as supported by your implementation.​

Preview media​

Media files in list views are represented by thumbnail images. Common image file formats are rendered for preview by default in Optimizely, but other rendering formats can be developed.​

Download media​

Select the desired media file in the Media structure and Download in the context menu. Or, if you are previewing the media file, select Download this file from the Options menu.​

​Edit metadata for media​

Select Edit for the desired media file in the Media structure, and then the All Properties view to edit the metadata properties.

Rename media​

Select the media file in the Media structure, then the All Properties view, and change the Name and the Name in URL. Renaming a folder or media file changes its URL. While internal links are typically handled, external links and search engine indexing might be affected.​

​Replace media​

To replace an existing media file with another, upload a new file with the same name to the same folder as the file you want to replace. A replaced media file is published immediately, affecting places on the website where the file is used.​

​Manage media file versions​

Media files support version management in the same way as other content types in CMS. Use the Versions gadget to view, compare, and restore previous versions of a media file. ​
